We are looking for candidates who would like to become Receptionist with administrative functions in our Kyiv office to manage our front desk on a daily basis and perform a variety of administrative and clerical tasks.

As a Receptionist, you will be the first point of contact for our company. Our Receptionist's duties include offering administrative support across the organization. You will welcome guests and greet people who visit the company. You will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls.

To be successful as a Receptionist, you should have a pleasant personality, as this is also a customer service role. You should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position. This role requires working in shifts, so flexibility is a plus.

Ultimately, a Receptionist's duties and responsibilities are to ensure the front desk welcomes guests positively, and execute all administrative tasks to the highest quality standards.

Responsibilities:

  • Meet visitors at the front desk by greeting, welcoming, directing and announcing them appropriately;
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitoring guest book, issue visitor badges);
  • Provide basic and accurate information in-person and via phone/email;
  • Screen phone calls;
  • Organize and coordinate meetings, conferences, corporate events;
  • Organize travel arrangements, guests support, accommodation;
  • Provide general assistance during TOP management visits;
  • Answer and forward incoming phone calls to appropriate departments;
  • Receive and sort daily mail;
  • Update calendars and schedule meetings;
  • Daily check office space, conference rooms, lounge zone, storeroom, cloakroom, plants & flowers, kitchen and reception to be tidy and fully operational;
  • Cooperation with HR department in terms of employee's maintenance and adaptation processes;
  • Organization of Client's delegations visits, trainings, conferences and corporate events;
  • Budget and order refreshment supplies, predefined and consulted appropriate specialist;
  • Budget and order branded goods and medical supplies for the office;
  • Ensure corporate mobile phones timely payments;
  • Business trips arrangements: provision of tickets bookings, insurance, invitation letters etc.

Requirements:

  • Professional attitude and appearance;
  • Proven work experience as a Receptionist, Front Office Representative or similar role;
  • Excellent organizational skills;
  • Customer service attitude;
  • Upper-Intermediate level of English is a must;
  • Solid written and verbal communication skills;
  • Proficiency in Microsoft Office Suite;
  • Ability to be resourceful and proactive when issues arise;
  • Multitasking and time-management skills, with the ability to prioritize tasks.

Would be a plus:

  • Experience with Atlassian JIRA;
  • Knowledge of other foreign language such as German, Polish, Italian, Spanish, Romanian.
